Remind everyone on the bill about the show the day before, with the lineup in the message. Ask them to RSVP, and ask musical and cabaret acts for their cue sheets.
The day before a show, send the whole bill a note: a hello, anything they should know about the night, and the lineup, so everyone knows who they're on with. Each act's copy has their own spot and call time. Attach a map or a parking note if the venue needs one, and start from last week's message when the show runs every week.
Ask for an RSVP and each act can confirm with one click from the email. Their answers show up on the show itself, and a yes is a strong sign they'll be there. If someone hasn't answered, send them a message a few hours before the show.
With act cue sheets, the same message can ask acts for theirs: their walk-on music, their cues, and notes for the showrunner such as their tech requirements. It all comes back attached to the show rather than buried three replies deep.
Everything you send stays on the show, so you can always see who heard what, and when. Acts can read it again on Confirmed, lineup included, without digging through their inbox for the call time.
